GPML Tournament Hosting Information

This document contains some miscellaneous information relevant to the tournament hosting process. Every tournament director is mailed a Letter containing further instructions that also must be adhered to and are considered part of official GPML policy.   • The $100 test fee grants a site the privilege to use the tests at a tournament on the specified date only. Tests remain property of the Great Plains Math League and may only be copied and distributed subject to the conditions in the Letter.
  • Tournament directors are encouraged to review the tests before the day of the tournament and report any key errors to GPML as soon as possible. If there is a problem discovered the day of the tournament, the director should make every attempt to contact Tim Sanders for a ruling. If this is not possible the tournament director should use his or her best judgment to make a decision, keeping in mind that the appeals process will serve as a safety net to ensure that, if you as a tournament director have to make such a ruling, you needn't worry about your decision adversely affecting students' chances to qualify for state.
  • It is suggested that each tournament institute a viewing period where coaches can check their students' papers for grading or key errors before the results are announced.
  • GPML has an appeals process in place to deal with issues such as test key errors or incorrect grading; this process is described on the survey form which must be distributed to all participating schools. If it is found that a score is incorrect after the results are announced, GPML's sole responsibility is to ensure that the student(s) on whose behalf the appeal was made are added to the state meet qualifiers list if the updated score warrants it. No other corrective action will be required of either GPML or individual tournament directors after results are announced.
  • Each tournament is free to set its own policies regarding such things as entry fee, nature of awards, and additional unofficial events so long as all GPML rules are adhered to.
  • Tournaments may limit the number of participants based on available space, but if this is necessary entries must be honored in the order they are received. The host school may not deny any school registration at a GPML contest on the basis of size, location, reputation, or any other means than the order in which the registration forms are received.
  • If a tournament must be cancelled due to inclement weather, GPML will provide tests and allow the organizers to host a tournament on a subsequent release date agreed upon by the organizers and GPML. If the original tests are used on an unauthorized make-up date, participants will be ineligible to qualify for state on those tests.
Specific to organizations hosting a state meet:
  • Any organizations interested in hosting their state's championship meet must submit an application and will be notified when a decision is reached as to who will host the state meet.
  • The host organization is not required to pay a $100 test fee for the state championship tests.
  • GPML will provide to the state meet hosts a list of qualified students and schools for their respective state meets. GPML's determination regarding what size a school is classified as or who is qualified to attend the state meet is final.
  • All ties affecting the top three places in the target round or first place in the relay or team rounds at the state meet must be broken by GPML's established item analysis procedures. Power question graders must break any first place ties by adjusting one or more scores based on the merits of the test taken as a whole. Sprint round ties must be officially recorded as ties unless the ties are broken by item analysis. Sweepstakes ties must be officially recorded as ties.
  • The state meet must include a viewing period where coaches can check their students' papers for grading or key errors before the results are announced. Neither GPML nor the host organization will be held responsible for errors in grading or in the test keys after the results are announced.
